Sample Coordinator - New Product Introduction (NPI)
Objective:
The Sample Coordinator ensures timely fabrication and management of product samples using dedicated resources (not shared with regular operations), supporting the New Product Introduction (NPI) process and customer validation activities. The position strengthens the NPI team by providing full visibility and control over sample production timelines, quality, and availability.
Primary Responsibilities:
-Act as the main point of contact for all sample requests related to NPI projects.
-Plan, schedule, and oversee sample fabrication using assigned (dedicated) resources.
-Coordinate closely with Quote Specialists, Project Leaders, Industrial Engineering, Quality and Sourcing teams to align sample requirements and priorities.
-Track the end-to-end sample production process, ensuring timely completion without impacting standard operations.
-Maintain a detailed inventory of all samples in production, completed, and shipped.
-Manage documentation related to samples (work orders, approvals, traceability).
-Identify risks or bottlenecks in the sample fabrication process and propose solutions.
-Support audits and reporting by providing accurate sample tracking data.
-Collaborate in defining best practices and continuous improvement initiatives for sample management.
-Has direct communication with Customer.
Required Skills and Qualifications:
-Experience in a manufacturing, engineering, or NPI environment.
-Strong project coordination and organizational skills.
-Good understanding of fabrication processes, material planning, and basic production workflows.
-Ability to manage priorities under tight deadlines.
-Clear and professional communication with cross-functional teams.
-Experience working with ERP systems and inventory management tools (preferred).
-Problem-solving mindset and proactive attitude.
Reporting Structure:
-Reports to: NPI & Quoting Manager.
-Works closely with: Quoting, NPI, Quality, Industrial Engineering and Sourcing Teams.
Key Success Metrics (KPIs):
-On-time sample fabrication rate.
-Number of samples produced without impacting operations.
-Responsiveness to urgent project sample needs. (Time that takes to have a first answer)
-Monthly Costs Report (PI)
